📅 Manage riders on a lesson

Add, move, replace or remove riders, check forms and payments, and write lesson notes and programmes.

Open a lesson to see who's coming, add riders yourself, and move, replace or remove them. You need Administrator or Instructor permissions. A Restricted instructor can only assign horses here.

See who's coming to a lesson

In Events, select the lesson. The Attendees tab lists the riders booked on that date and their horses.

  • Red stripes: the booking needs attention, such as an unpaid booking or an unsigned Registration Form. Point at the rider's name to see why.

  • A star with a number: a season rider.

  • A person icon: a preliminary client without an email address, who can't get messages.

To list only the riders who need attention, select Participants with unpaid reservations or Participants with unsigned registration form.

A lesson window on the Attendees tab: the warnings Participants with unpaid reservations and Participants with unsigned registration form, four riders with their details (two red-striped with an unpaid booking and a missing Registration Form), the Horses column with Assign horse, Add client to course, Lesson notes, Course program and the Full season lesson plan button.

Add a rider to a lesson

  1. In Events, select the lesson and then Add client to course.

  2. In Select a client, search for the rider and choose them. Search before you use Add a new client: Hopoti can't merge accounts (see Add a rider or a family yourself).

  3. Under Choose events, select the dates (Select all for the whole series) and select Continue.

  4. Under Choose payment type, choose how the rider pays (see below). To tell the rider something, write it under Send a message to client.

  5. Select Add clients to chosen lessons.

The rider now shows on the Attendees tab of each date you chose.

Choose how the rider pays

Under Choose payment type, choose how the rider pays:

  • Stablecard: choose one of the rider's Stablecards at the top (No Stablecards means they have none to use here).

  • A gift card: pay for the lesson with one of the rider's gift cards (No gift cards means they have none). See Sell and redeem gift cards.

  • Add without payment: nothing is charged.

  • Offline payment: an invoice the rider pays you directly (see below).

  • Payment plan: select New payment plan and set the price and instalments. The rider pays the invoices online. See Change how a rider pays with a payment plan.

  • Add to membership: only on a weekly lesson that belongs to a Membership (see below).

When you add the rider to several lessons, you can combine payment methods. For example, use a Stablecard for some lessons and a payment plan for the rest, or add the rider without payment to some lessons and put the rest on a payment plan. Offline payment and Add to membership can't be combined with any other method: once you choose one of them, the other methods show Other payment methods selected.

Open the section that fits your situation.

If the rider pays you offline

Offline payments are on the Starter, Growth, Pro and Ultimate plans. New features like this aren't part of earlier plans (from before September 2026). Message our team to get access.

Switch on Offline payment, choose your method under Name, and check Season total price, VAT and Due date (the lesson date by default). Hopoti creates an invoice. Mark it as paid when the rider pays you: see Take bookings with offline payments.

If the lesson is part of a Membership

Memberships are on the Pro and Ultimate plans. New features like this aren't part of earlier plans (from before September 2026). Message our team to get access.

Switch on Add to membership: every date of the weekly lesson is selected. Change Monthly price for this client only if this rider pays a different price. For what happens next, see Follow up Memberships: members, invoices and notice.

Move, replace or remove a rider

Use the buttons next to each rider on the Attendees tab.

  • The X (Remove client from event) takes the rider off this lesson. Hopoti asks whether to give the rider a Stablecard credit for it. If the rider is a member, you can end their Membership in the same step with Also end the membership.

  • The wrench has Move participant to another event, Replace with another client (moves the booking and its invoices to another account, for example when it was booked on the wrong one) and Edit payment plan.

Removing a rider doesn't refund their payment. To return money instead of giving a credit, see Refund a payment. The same options are on the rider's client card under Reservations.

Assign horses and write lesson notes

  • Assign horse: choose a horse for the rider. It's saved straight away. To plan the whole day, see Assign horses to riders and print the day list.

  • Lesson notes: for your staff only.

  • Course program and the lesson type: riders see them when they book and in their calendar.

Save notes and programmes with the tick. Full season lesson plan shows the notes, programme and type of every date of the series in one view.

If something doesn't look right

Check these in order.

  • "Payment method not selected": choose how the rider pays for every date you selected.

  • You can't add a rider to the last place: There are temporary reservations means someone is paying for it. Hopoti holds the place for up to 30 minutes: select Refresh reservations after a while.

  • No methods under Offline payment: add or switch one on in Settings > Payments.

  • A rider is no longer on the lesson: look below the riders. Season payment part unpaid - client removed from lessons means an instalment wasn't paid within your stable's grace days (3 days after its due date by default). See Unpaid invoices and riders removed from lessons.

Still stuck? Message our team with the lesson's name and date and the rider's name.
