Work through these checks in order to find out why a rider can't book one of your lessons. Changing anything under Settings needs an Administrator.
Check that the lesson is open for booking
Open the lesson from Events and select the Edit tab: Event availability must be Event open for bookings. With Event locked, riders see the lesson but can't book it. With Event hidden, only you and your staff see it: to keep a lesson for some riders only, use tags instead. Save with Save changes to this event, or Save changes to all events > Only save changes to all events for the rest of the series.
Then check Booking closes in Settings > Settings > Default settings: one closing time per weekday for that day's lessons, so 08:00 on Monday closes booking for Monday's lessons at 08:00. Riders see The booking closes with a countdown. To change the closing times, see Control when riders can book, and let new riders book faster.
Check that the lesson has free places
Compare the riders on the lesson's Attendees tab with the places under Attendees on the Edit tab. Bookings waiting for payment hold their place until they're paid, or until Hopoti cancels an unpaid online invoice after your stable's grace days (3 days after its due date by default). Offline invoices are never cancelled automatically. To fit the rider in, raise the number of places. If the lesson stays full, see Waiting lists and open-place alerts.
Check the lesson's tags
Tags are the most common reason a rider can't book. On the lesson's Edit tab, Tags – limit buying decides who can book: with All Users there, everyone; without it, only riders who have one of the lesson's tags or a Stablecard that matches.
Check the rider's tags in Clients and add the missing tag.
If the tag came from a Pass, check that the Pass is still valid: the tags end with the Pass.
If the rider's Stablecard doesn't work, see A Stablecard or Pass doesn't work for a lesson.
How tags work: Use tags to decide who can book and buy.
Check that the rider has signed your Registration Form
If your stable uses a Registration Form, riders must sign it before they can book. Until then, the lesson shows a Sign Registration Form button. The Missing Registration Form tab in Clients lists who hasn't signed. Send the rider Sign your stable's Registration Form.
Check the rider's skill level
A lesson's minimum level (Select minimum rider skill) blocks riders only when Require confirmed skill levels is on in Settings > Settings > Default settings. Then riders need a confirmed level at least as high as the lesson's, and riders with an unconfirmed level can book only lessons at your lowest level (No experience, unless you've renamed it). The Skill level unconfirmed tab in Clients lists the riders whose level you haven't confirmed yet. See Set up skill levels and confirm riders' levels.
Check that your business is published
Until our team publishes your business, it's in testing and riders can't book with you. Complete the setup progress bar and select Ready to publish? See Register your business on Hopoti.
Other reasons a rider can't book
These apply only to some lessons. Open the one that matches yours:
If the rider can't choose Season
If the rider can't choose Season
Riders can't choose Season when any lesson of the season is locked or hidden. Set those lessons to Event open for bookings.
If the lesson belongs to a Membership
If the lesson belongs to a Membership
A rider can't join a Membership when every date it covers is full. Check the places on the weekly lesson's dates. See Set up a monthly Membership for lessons.
If every setting looks right
The cause is usually on the rider's side: they aren't logged in, they're on the wrong page or account (for example a parent booking for a child), or rider details such as height, weight or an emergency contact are missing. Send the rider I can't book a lesson.
Still stuck? Message our team in the chat with the lesson's name, date and time, the rider's name and login email, and what the rider sees (a screenshot helps).
