The Reports tab in the Archive turns any period into a PDF: the Accounting report for your bookkeeping, receipts for Hopoti's own fees, and event, horse and age reports. Only administrators can open the Archive: the Instructor and Restricted instructor roles can't.
This feature is available on certain plans
Archive reports are available on the Growth, Pro and Ultimate plans.
Earlier plans (from before September 2026) include this too.
Download a PDF report
Go to Archive and select Reports, the second icon in the tab bar.
Enter the start and end dates at the top right and select Update.
Select a report from the list.
Choose the report's options, if it has any, such as Paper size and Orientation.
Select Open to view the PDF in a new tab, Download to save it or Print to print it.
The report covers the dates you chose. If it's empty or something is missing, check the dates, select Update and open the report again. Still not right? Message our team in the chat with the report name and the dates.
What to give your accountant
Accountants usually ask for the Accounting report and your payments as a spreadsheet from Archive > Payments for each month or quarter (see Export payments, invoices and bookings for your bookkeeping). Add the Processing fee receipts for Hopoti's own charges. If they need a receipt for each payment, see Download receipts for your payments.
Which report to use
The Reports tab has five reports.
Accounting report
The Accounting report summarises your sales for the period: sales charts, gross and net sales, taxes per rate, Hopoti's fees, the number of payments, bookings and clients, and the average sale per payment, followed by a list of every payment. For basic bookkeeping, especially on a cash basis, it's often enough, but check with your accountant.
Processing fee receipts
Processing fee receipts show Hopoti's own service charges to your business for the period, which are taken from your riders' payments before the money is paid out. Each receipt shows the fee without tax, the tax rate, the tax and the total. It's a bookkeeping document, not an invoice. Processing fees are separate from any booking fee your riders pay you.
Event report
The Event report lists every event in the period. Its cover page shows the number of events and bookings and the occupancy, also by skill level, cancellation policy, instructor, location and event type. Estimated revenue per instructor is shown as two figures:
Individual Revenue: revenue from events where this instructor is the only instructor.
Shared Event Revenue: the full revenue from events where this instructor is one of several instructors.
Revenue isn't divided between instructors, so a shared event counts in full for each of them.
Horse report
The Horse report shows each horse's workload in the period, the types of events it did, and its estimated revenue and utilisation, so you can compare horses and look after their well-being.
Age report
The Age report finds riders of a certain age who booked lessons in the period. Enter the birth date range in Lowest birthday and Highest birthday. The report shows how many people match, their lessons and courses, and a list of them.
