🚀 Find your way around the admin

Your Summary page for the day, what each item in the admin menu is for, how to switch stables, and the Tour and Help buttons.

The admin side of Hopoti is where you and your staff run your stable: the Summary page for the day, the left-hand menu, and help on every page.

The admin side and your Hopoti page

  • Admin side: the menu on the left, under Admin tools. Only you and your staff see it.

  • Your Hopoti page: what riders see. Open it with Client pages at the top of the menu.

  • Top bar: your own personal account, such as your invoices, your calendar and your favourite stables under Favorites.

The admin side of Hopoti on a computer: the top bar with your personal account at the top, the left-hand menu with Client pages and Admin tools, and the Summary page in the main area.

Start your day on the Summary page

The Summary page opens when you log in and shows one day at a glance. Change the day with the date and the arrows, or select Today to come back.

  • The day in numbers: lessons, participants and open places.

  • Warnings: lessons where horses aren't assigned yet, riders without a signed Registration Form, and overdue invoices.

  • Day lessons: the day's lessons, with new bookings and cancellations highlighted. Select a lesson to manage its riders or assign horses. A rider shown in red stripes needs attention, for example an unpaid booking or an unsigned form.

  • Day Horsecare: the day's care entries, such as farrier or vet visits. Add one with New entry.

  • Overdue invoices: open invoices past their due date, and season invoices that weren't paid in time (the rider was removed from the lessons). See Unpaid invoices and riders removed from lessons.

Switch Day lessons between List and Full (a timeline of the day). In Full, you can also show one column per instructor or location. Collapse sections with the arrows. The Summary page remembers your view.

If you want one column per instructor or location

  1. On the Summary page, select Full in Day lessons.

  2. Choose Instructors for one column per instructor, or Event location for one column per location.

  3. Use the Instructors: or Locations: filter to choose which columns show.

Show sets what each lesson block shows, such as Attendees or Highlight open places. Locations come from Settings > Locations; lessons without one are under No locations.

The Summary page for one day: the date picker and the day in numbers (lessons, participants, open places), the warnings for horse assign, unpaid lessons and missing registration forms, Day lessons with attendees (riders with unpaid bookings or a missing Registration Form marked in red), Day Horsecare, and Overdue invoices with overdue open invoices and a rider removed from the lessons.

What's in the admin menu

This table lists the admin menu items from top to bottom, with the article to read for each. You may not see every item: it depends on your stable's plan and your staff permissions.

Get help on any page

Most admin pages have Tour and Help buttons at the top right.

  • Tour walks you through the page step by step. Tours only show on a computer, not on a phone.

  • Help opens the help article for that page.

To ask our team, use the chat button in the bottom right corner.

If your admin looks different

What you see in the admin depends on your stable's plan and your staff permissions.

  • Your stable's plan: menu items that aren't part of your plan are hidden or locked. To ask about a feature, message our team.

  • Your staff permissions: instructors and restricted instructors see fewer menu items.

If you're an instructor or restricted instructor

  • Instructor: everything except Archive and Settings.

  • Restricted instructor: no Archive, Cards, Invoices or Settings, and Events and Clients are read-only. Restricted instructors can still assign horses and add Horsecare entries.

An administrator can change your permissions: see Add staff and choose what they can do.

If you work for more than one stable

To switch between the stables you're staff at, select Favorites in the top bar and choose the stable. The admin menu then shows that stable's pages.

The button with the stable's name at the top left only opens the current stable's home page.
