🛎️ Examples: arena hire, private lessons and rentals

Ready-made setups for arena hire, private lessons, trail rides and rentals, with Stablecards and a monthly arena Pass.

These setups show how stables sell common services in Hopoti. Copy the one closest to yours and change the names, times and prices. For the steps, see Set up a bookable service.

Rule of thumb: sell unlimited use for a period as a Pass, and a set number of visits as a Stablecard. The setups link cards, Passes and options with tags. Tags are on the Growth, Pro and Ultimate plans. Earlier plans (from before September 2026) include them too.

Indoor arena hire

Create an "Indoor arena hire" service in a calendar of its own, such as "Arena", with a cancellation policy so riders can cancel and rebook. Add it to a schedule for the hours the arena is free of lessons, with the restriction "at most 4 participants at the same time" (or as many riders as your arena takes). The arena hire service has four options:

Tags - By purchasing the card the customer gets tags: Arena pass 1 month

Riders with the Pass book the free "Arena with a Pass" option as often as they like while the Pass is valid. Private arena time isn't included, so they pay for it or use a private arena card.

Outdoor arena or course hire

Set it up like indoor arena hire, with its own service and schedule, so outdoor and indoor bookings don't limit each other. If the outdoor arena or course closes for the winter, end the schedule on a set date or add exceptions for the closed weeks.

Private lessons

Create a "Private lesson" service in the calendar you use for lessons, with a cancellation policy. Add it to a schedule for the hours an instructor is available. Both options are private bookings: once a rider books a time, nobody else can book that time in the schedule. The private lesson service has two options:

Setting

Private lesson for two

To sell private lessons in advance, add a 10-credit Stablecard for each option, with the option's tag in Tags - Card is suitable to. Because the tags differ, a credit from a cancelled group lesson can't be used for a private lesson.

Trail rides and hacks

Create a "Trail ride" service with one option per route or length, for example 1 hour in the forest and 2 hours to the lake. The booker books and pays for the whole group at once. Set the minimum skill level on the service, and use the schedule restriction "at most a number of participants at the same time" to match the horses you have for trail rides.

Accommodation and all-day rentals

Stalls, horse trailers and overnight stays work as all-day services. In the service description, say exactly when the rental period starts and ends. Add a schedule with the restriction "at most a number of services at the same time", matching how many stalls, trailers or rooms you have. These options assume riders can't cancel; to allow it, give the service a cancellation policy.

The all-day service has three options:

When an invoice works better than a service

If a rental is long or its price isn't known in advance, agree the details with the rider and send an invoice instead. Monthly stall rent and livery work best as a recurring invoice, and other products or services you sell now and then work as a one-off invoice. See Send a one-off or recurring invoice.
