With Services feature businesses can flexibly sell all their services and experiences. Services differ from events in that the business defines the services to be offered, service options, possible restrictions, and appropriate schedules. The customer selects an available time and option and books all participants in the service at once.

Which to use – services or events? πŸ€”

  • Events are best suited for riding lessons, camps, courses, and other time- and content-related events for which each participant can reserve one seat.

  • Services are best suited for indoor arena bookings, private lessons, trail rides, accommodation, rentals and other special services where the customer can choose a more specific option, time and participants.

Available services are displayed to customers just like events on the Booking page in different calendars, but the services can also be found on the Shop page. Unlike events, the customer can choose a suitable option and a more specific time for their service when booking. If the business wants, it's possible to use stablecards to reserve services, for example, a multi-time indoor arena card. Tags and thus also memberships can be used to book services. For example, a month of unlimited indoor arena use can be sold as a membership, including a tag that entitles a free service option.

Cancellation of booked services is possible from the customer's calendar if the business has allowed the service's cancellation through a cancellation policy. If the business has also chosen that clients receive a balance on the stablecard from the cancellation, the customer who made the reservation will automatically receive a stablecard after cancellation, which can be used to book a new service. There may be more than one participant in the services, but only the booker can make the booking changes.

The services sold by the business are created in the business' booking calendar as events with the right information like participants and event details. However, an event created through a service reservation is not bookable by other customers. Changes to it are only visible to the business and the client who purchased the service – except for the event name and description, which are public. If the customer cancels the service reservation, the event will also be deleted automatically.


Services and options

Under the Events page, you will find the Services page to view the services and their schedules. At least for a start, we recommend that you familiarize yourself with the settings on a non-mobile device to make it easier to understand the settings.

Tap "Add a new service" to start creating the service in a separate window. You should describe the new service in more detail with name and description – for example, "Indoor arena reservation" or "Private lesson". It is also a good idea to choose a colour and an icon. You can also select calendars, event type, location, instructor, minimum skill level, and cancellation policy for the service, just like with events. The booker can also be asked a mandatory question using "message to the business" function.

Several different options for the same service can be created within a service with the "Add an option" button. Options may vary in price, participants, duration, and other features. For example, different lengths of options can be used for indoor arena bookings, or you could have a choice for private reservation of the indoor arena. For private lessons, you can choose how many participants' are in each of the options and so on.

Notes on option settings

Interval determines at what intervals the customer can choose a suitable time for their service reservation. If, for example, you want the service to be bookable every hour, such as on the hour, you select an interval of 1 hour. If the services have options that are half an hour long, it's good to set the interval to 30 minutes so that half-hour slots are not left unbooked.

Participants – unlike events with services, the booker will reserve places for all participants at once. This is done according to the number of participants. Participants are selected from family accounts, friends, or hand-filled participants. At no point will the reserved service go on general sale in Hopoti, and there cannot be vacancies as in events. Also note that other participants, except for the booker, may not appear on the company's client list, even if they appear on the service reservation's attendee list. This may be because only the booker needs to have an Hopoti account created and other participants can be added just by hand-filling in the information about them without creating an account.

Private booking will ensure that the booker gets the service option entirely for their use. When making a reservation, it is ensured that no other reservations have been made to the schedule, and no other reservations will be made for the same period after the purchase. Suitable for private reservations of the indoor arena, for example.

Tags can be used to limit who can buy a service option and which stablecards or memberships will be suitable, in the same way as at events. Read more about Tags.


​Stablecard credits, i.e. how many credits are needed to reserve an option and how many are obtained from cancellation. This allows multiple credits to be charged for booking one service option and, accordingly, to be cancelled with more credits. The feature is suitable, for example, for service options of different lengths, where one hour of service time can work with one credit and two hours of service time with two credits.


Schedules and restrictions


The Services page found under the Events page lets you view the service schedules that determine when the services are for sale. If only the service has been created, but not the schedule, the service cannot be purchased yet. Tap "Add a service schedule" to start making a schedule in your window. One or more services can be added to one schedule. You can choose on which days and times the schedule is valid and whether the schedule is valid for the time being or until a specific day.

Schedule restrictions can limit the number of simultaneous services booked within a schedule or the number of concurrent participants through the services. You can adjust, for example, that the indoor arena can accommodate up to four participants at a time – or that private lessons can be booked for up to two services at a time, as there are only two instructors per work shift.

Exceptions to a schedule can be made after creating a schedule for individual days or time intervals by tapping the created schedule and selecting "Add an exception". For example, exceptions allow you to keep services for sale on a schedule for the time being and add exceptions for holidays or other days when you do not want that schedule to be valid. Keep in mind that the exception only applies to that schedule, not, for example, other schedules that may be in effect on the same day.


Different ways of using the services

Indoor arena reservations

Take full advantage of the arena and other premises of your business by renting them. You can add an "Indoor arena reservation" service and various options such as one hour, two hours and a private booking for an hour. In addition to these, you can even have 10x arena rental cards for sale and a monthly membership with which the customer can book unlimited regular arena times, but not private bookings. Check out the example settings we've made below and implement them to suit your use.

Example settings for schedules:

Create an "Indoor arena reservation" service schedule with the days, times and validity you want. In general, it is a good idea to set the arena schedule outside of regular riding lesson times. You may also want to limit the number of people in the arena by using restrictions of the schedule – at the same time at most X participants. For example, you can choose to have no more than four riders in the arena simultaneously.

Example settings for "Indoor arena reservation" service:

Write a suited description for the "Indoor arena reservation" service, which also explains its different options. It would be best if you created own calendar for the arena, which you can select as the service calendar. The example settings take into account the cancellation and rebooking, so you should choose a Cancellation Policy for the service.

All-day services (stalls, accommodation, rentals)

With services, you can also sell all-day services, such as accommodations and various rentals, such as stalls, horse trailers, and many more. Check out the example settings we've made below and implement them to suit your use.

Example settings for schedules:

Create a schedule or several for all-day services with the days, times, and validity you want. You may want to limit the number of services that can be reserved using restrictions of the schedule – at the same time at most X services. For example, you can choose how many rentals you can have at one time, depending on the number of rental properties.

Example settings for services:

Write a suitable description for each all-day service, explaining the different options and when the service period starts and ends exactly. These preset settings assume that there is no right to cancel all-day services, but you can also apply the settings to work with cancellation if necessary.
