📊 Your key figures in the Archive

What each figure on the Archive Overview means and how to compare periods.

The Overview in the Archive shows your stable's key figures for any period, such as sales, occupancy, ratings and invoices, each compared with an earlier period. Only administrators can open the Archive: the Instructor and Restricted instructor roles can't.

This feature is available on certain plans

The Archive Overview is available on the Growth, Pro and Ultimate plans. Earlier plans (from before September 2026) include this too.

Comparing with an earlier period is included in Pro and Ultimate: on Growth, the comparison numbers are hidden.

Choose the period on the Archive Overview

  1. Go to Archive. The tabs are icons in the bar at the top: point at an icon to see its name.

  2. Select Overview, the first tab.

  3. Enter the start and end dates at the top right and select Update.

Every figure now covers the dates you chose, except figures marked At the moment, such as Total customers, which always show today's number.

The Archive Overview tab: the tab bar, the date fields 09/09/2026 to 09/10/2026 with the Update button, and cards for Sales, Payments, Events, Occupancy, Ratings, Overall rating, Instructor, Horse, Sales excluding taxes, Reserved places, Total places, Total card credits, Active customers, Total customers, Paid invoices, Unpaid invoices, Unpaid places, Invoice pay delay, Active horses and Total horses, each with the change and the earlier value, and the Current timeframe and Compared time frame lines with Previous, Last year and Custom.

Compare with an earlier period

Each figure on the Overview shows the percentage change against an earlier period (a green arrow up or a red arrow down) and the earlier figure below it. At the bottom of the page, Current timeframe shows your dates and Compared time frame the dates you compare with. To change the comparison, select:

  • Previous: the same number of days just before your period

  • Last year: the same period a year earlier

  • Custom: dates you choose

What each figure on the Overview means

Unless a figure is marked At the moment, it counts only the period you chose:

Figure

Sales excluding taxes

The same total without taxes.

The share of the period's invoices that are paid.

Unpaid invoices

The amount still unpaid on the period's invoices.

Unpaid places

Bookings waiting for an unpaid invoice to be paid.

Invoice pay delay

On average, how many days before (minus) or after (plus) the due date invoices were paid.

Active horses

Horses assigned to lessons.

Total horses

At the moment: all horses added to your stable.

The other Archive tabs

The other tabs have their own articles: Reports in Download PDF reports, receipts on the Payments tab in Download receipts for your payments, the Stripe tab in When your money arrives: payouts and Stripe, and the tables you can download (Payments, VAT, Events, Reservations, Cards, Invoices, Horses) in Export payments, invoices and bookings for your bookkeeping.

If an Archive figure looks wrong

  1. The dates: check the dates at the top right and select Update after changing them.

  2. At the moment: Total card credits, Total customers and Total horses show today's number, not the period's.

  3. The compared period: the percentage change compares your dates with the dates under Compared time frame. On the Growth plan, comparison numbers are hidden.
