🐴 Share a horse's information with owners and other stables

Give an owner or another stable Read, Editor or Admin access to a horse's information and care records.

Give a horse's owner or another Hopoti stable access to the horse's information and care records, so everyone looking after the horse works from the same records. This is for your stable's staff.

Before you start

  • You can give access to people with a Hopoti account and to stables with a Hopoti business account.

  • People with access see the horse's Basic care instructions, its health document (Horse health document, or Coggins on stables in the United States) and its Horsecare records. Your Notes stay visible to your staff only.

  • Sharing a horse works on every plan. Horsecare records are shared only if your stable has Horsecare. Horsecare is on the Growth, Pro and Ultimate plans. Earlier plans (from before September 2026) include this too.

Give someone access to a horse

  1. Go to Horses and select the horse icon at the end of the horse's row.

  2. Open the Edit tab.

  3. Under Permissions, select Change permissions.

  4. Select Add user to add a person, or Add stable to add another stable, and choose them.

  5. Choose their access level: Admin, Editor or Read.

  6. Select Confirm, then Save changes.

The access levels work like this:

  • Read: can see the horse's information.

  • Editor: can see and change the horse's information.

  • Admin: can also change who has access to the horse and remove the horse. Your own stable has Admin on the horses it adds.

A person you add finds the horse under My horses on the Horses page of their Hopoti profile. To remove someone's access, open Change permissions again, select the bin icon next to them, select Confirm and then Save changes.

If a person or stable doesn't show up when you add them, check that they have a Hopoti account under that name.

The Change permissions window: the intro text, Stables with Hopoti Horizon Stables as Admin, Users with Emma Virtanen as Admin and Lucas Berg as Editor, the Admin, Editor and Read options with a bin icon on each row, and the Add stable, Add user, Confirm and Cancel buttons.

Private horses and horses that move

Open the part that fits your situation:

If the horse belongs to a rider

There are two ways to share a privately owned horse:

  • You add the horse in Horses and give the owner Editor or Admin access.

  • The owner adds the horse in their own Hopoti profile and gives your stable access from there: see Add your own horse and keep care records.

If the owner has already added the horse, ask them to give your stable access instead of adding the horse again, so there's only one set of records.

An owner without Hopoti Plus sees the horse's Horsecare records and can add Other entries for it. The other entry types need Hopoti Plus.

If the horse moves to another stable

When a horse moves to another Hopoti stable, hand it over so its records go with it:

  1. Open the horse's Edit tab and select Change permissions.

  2. Select Add stable, choose the new stable and give it Admin access.

  3. Select the bin icon next to your own stable.

  4. Select Confirm, then Save changes.

The records stay with the horse, so the new stable can see its history and keep its care records up to date.
