Sell all the lessons of a series as one season (some stables say term or course). Riders pay in one go, in instalments, or with a booking deposit first. You need Administrator or Instructor permissions.
Before you start
Create the lesson series: see Create a lesson series and open it for booking. Every lesson of the season must be open for booking.
Decide what happens when a rider doesn't pay a part: Season cancellation when overdue invoices in Settings > Settings > Default settings.
Turn on season sales
In Events, select the first lesson of the series and open the Edit tab. You can also do this in the Add event window when you create the series.
Under Lesson selling type, switch on Season.
Enter the Season price (tax included) and its tax rate under VAT % or TAX % (the label depends on your stable's country).
To take the whole season in one payment, leave Maximum installments at 1 and Due date at Immediately.
Save with Save changes to all events > Only save changes to all events, so every later lesson of the series gets the season settings. In the Add event window, select Add event instead.
What riders see and pay
Riders see the season price, the number of lessons and the date the season ends. A rider who buys the season pays the full Season price, even if the season has already started, and is booked on every remaining lesson with a free place. For lessons that are full or have already passed, the rider gets Stablecard credits instead.
Open the section that fits how you sell the season.
If riders pay in instalments
If riders pay in instalments
Raise Maximum installments. The highest number is the number of lessons in the series: a series of 10 lessons can be paid in up to 10 parts.
Under Due date, choose when each part is due: one day, one week or one month before the first lesson the part covers. Immediately only works for one part.
Riders choose how many parts to pay in, up to your maximum. Each part is its own invoice, and its lessons stay unpaid bookings until it's paid. If a part isn't paid within your stable's grace days (3 days after its due date by default), Hopoti cancels it with its bookings. By default the rider's other season invoices and lessons are cancelled too: Season cancellation when overdue invoices changes this. See Unpaid invoices and riders removed from lessons.
If you take a booking deposit
If you take a booking deposit
Select Add booking deposit and enter the amount. Riders pay the booking deposit straight away to secure their place, and the rest follows your Due date. Total shows what the rider pays for the season in all: the same as the Season price, because the deposit is part of it, not added on top. A rider who books after the season has started pays no separate deposit.
A deposit lets you open sales early, for example for summer camps. It's not the same as a booking fee.
If you add riders to the season yourself
If you add riders to the season yourself
Open a lesson of the series in Events and select Add client to course. Choose the rider and Select all, select Continue, then choose Payment plan under Choose payment type, select New payment plan and set the price and number of instalments. Select Add clients to chosen lessons to finish: Hopoti creates the invoices and emails the rider about them.
You can combine a payment plan with a Stablecard or Add without payment: for example, add the rider free to 3 lessons and put the rest of the season on a payment plan. Offline payment can't be combined with other payment types. See Manage riders on a lesson.
If you pass a booking fee on to riders
If you pass a booking fee on to riders
A booking fee you pass on to riders applies to every season payment. Each instalment is charged the fee in force when it's paid, and riders are told this when they book. See Pass a booking fee on to riders.
If something doesn't look right
Check these in order.
Riders can't choose Season: a lesson of the season is locked or hidden, or Season was saved to one lesson only. Open the first lesson and save again with Only save changes to all events.
Riders can't book at all: usually Tags – limit buying. See A rider can't book a lesson.
Maximum installments won't go higher: it can't exceed the number of lessons in the series. Check End repeat, or add lessons.
A rider got Stablecard credits instead of bookings: those lessons were full or had already passed.
A rider was removed from the season: an instalment wasn't paid within your stable's grace days (3 days after its due date by default).
Still stuck? Message our team with the lesson's name, the season dates and the rider's name.
