🎟️ Use tags to decide who can book and buy

Create tags, give them to riders, and use them on lessons, cards and Passes to control who can buy what.

Tags are labels for riders, lessons and cards. They decide who can book which lessons, who can buy which Stablecards and Passes, and which lessons a Stablecard pays for. Riders never see tags.

This feature is available on certain plans

Tags for restricting lessons, riders and cards are available on the Growth, Pro and Ultimate plans.

Earlier plans (from before September 2026) include this too.

How tags decide who can book

Every new lesson has two smart tags in Tags – limit buying: All Users (every registered Hopoti user) and All Stablecards (every Stablecard your riders hold), so anyone can book and every Stablecard pays.

A rider can book when they have one of the lesson's tags or pay with a Stablecard that has one of them in Tags - Card is suitable to. So a lesson that keeps All Stablecards can still be booked by anyone holding one of your Stablecards.

Whether riders without a match still see the lesson depends on your stable's settings: either they see it but can't book it, or only riders with a match see it. This is separate from Event hidden, which hides a lesson from all riders.

Where you use tags

Lesson fields are on the lesson's Edit tab in Events; card and Pass fields are under Cards.

Create a tag

  1. Select Tags in the admin menu, then Tag editor.

  2. Select New tag, choose a colour and type a name, for example Group lesson.

  3. Select Add.

The tag button next to every tag field opens the same editor. Select a tag's pencil to rename, recolour or delete it.

The Tag editor with the New tag button, eight of the stable's own tags (Arena hire, Current riders, Family discount, Group lesson, Private lesson, Riding club, Small group lesson, Trail ride), each with a colour and an edit pencil, the smart tags All Stablecards and All Users, and the info box with Open guidelines.

Give tags to riders

Add tags in the Tags column in Clients, or on the client card's Basic info tab.

Tags in the admin menu lists the riders with each tag: remove a rider with the x, or message them all with Send message.

Limit who can book a lesson

  1. Select Events, click the lesson and open the Edit tab.

  2. Under Tags – limit buying, remove All Users with its x and add your tag. If only Stablecards with your tag should pay for the lesson, remove All Stablecards too.

  3. Under Cancellation card's tags, add the tag of the lessons a rider may rebook after cancelling, usually the same one.

  4. Save. For a series, choose Save changes to all events > Only save changes to all events.

Suitable Stablecards for this event then lists the cards that can pay. A card in red fits, but buying it is limited with tags.

The right-hand column of a lesson's Edit tab: Event calendar and Event location, Tags – limit buying with All Users and Group lesson, Cancellation card's tags with Group lesson, Event forms, the Suitable Stablecards for this event list with one card shown in red with a lock, and Event availability.

Watch out for these two mistakes when you limit a lesson.

The two most common tag mistakes

When you remove All Stablecards from a lesson (for example so group-lesson cards can't pay for private lessons), also add the lesson's tag to Tags - Card is suitable to on the Stablecards you sell for it and to the lesson's Cancellation card's tags. Otherwise those cards and credits stop working for the lesson.

Let some riders book first

Event hidden under Event availability hides a lesson from all riders, even those with the right tags: only you and your staff see it. To let current riders book the new season first, keep the lessons open and use a tag:

  1. Give your current riders a tag such as Current riders.

  2. On the new season's lessons, replace both smart tags in Tags – limit buying with that tag, and save with Only save changes to all events.

  3. When their turn is over, add the smart tags back and save the same way.

If a rider can't book or buy

Check these in order.

  1. The tags don't match. Switch on Show tags on the Events page and compare the lesson's tags with the rider's tags in Clients.

  2. Only one lesson of the series has the tags. Save it again with Only save changes to all events.

  3. A Stablecard, credit or Pass doesn't work. Check the tags on the rider's own card (client card, Cards tab). Editing a card for sale doesn't change cards already sold. See A Stablecard or Pass doesn't work for a lesson.

  4. The rider can't see the lesson. Check that it isn't set to Event hidden. Depending on your stable's settings, riders without one of the lesson's tags may not see it either.

  5. Riders who shouldn't book, can. All Users or All Stablecards is still on the lesson.

Still stuck? See A rider can't book a lesson, or message our team with the lesson's name and date, the rider's name and the card or Pass they tried.
