📊 Download receipts for your payments

Open the receipt PDF for one payment, or download every receipt for a period as one ZIP file, from Archive > Payments.

Download the receipt PDF for one payment, or every receipt for a period as one ZIP file, for a rider or your accountant. Receipts are in the Archive, which only administrators can open.

Before you start

Receipts show your Legal company name, Business / VAT number and Address from Settings > Settings > Business details, so check them first (see Update your business details, time zone and currency). Legal company name is locked: message our team to add or change it.

Download the receipt for one payment

  1. Go to Archive and open the Payments tab. Point at an icon in the tab bar to see its name.

  2. Choose the dates at the top and select Update. To narrow the list, select Filter.

  3. Select Receipt in the payment's last column.

The receipt opens as a PDF in a new tab, to save or print. One receipt covers the whole payment: if a rider paid three invoices at once, it has a line for each and its total matches the payment. The same receipt is in the History tab of the rider's client card, and riders find their own in History (see Find your receipts and payment history).

The Payments tab in the Archive, right-hand part: the Filter and Download buttons above a list of payments with the Client, Event, Lessons, Event start time and Event end time columns and a Receipt link at the end of each row.

Download all receipts for a period

  1. In Archive, open the Payments tab and select Download.

  2. Under Period (payment date), choose the dates, or select Today, Yesterday, This month or Last month.

  3. If the dialog shows Times in, choose Local time at the stable to count the days in your own time zone instead of UTC.

  4. Under Choose file type, select PDF receipts (ZIP).

  5. Select Download.

A counter shows progress, for example 12 / 130. Keep the page open until the ZIP file downloads. The ZIP has one PDF per payment in the period, named date_orderID_client.pdf, including payments made at checkout without an invoice.

The Download window of the Payments tab: Period (payment date) with the dates and quick choices, Times in, Choose file type with PDF receipts (ZIP) selected and its file name hint, and the Download button.

What a receipt shows

Receipts have the same layout in the Archive and in History: your company details, the receipt number (the payment's Order ID), who paid and how, one line per invoice or product with its VAT rate and amounts (and the rider's name when someone else paid), any booking fee as its own line, a VAT summary per rate when the rates differ, totals that match the payment, and a Printed date and time. Payment times are in your stable's local time. Receipts don't show bank details.

Tax invoices and refunds on receipts

Open the part that fits your situation:

If your business is in the United Arab Emirates

For businesses in the United Arab Emirates, the PDF is a UAE simplified tax invoice titled Tax Invoice instead of Receipt, with your legal company name, address and TRN. Hopoti prints Business / VAT number exactly as you save it, so save it as TRN followed by a space and your number. The receipt number is still the payment's Order ID.

Hopoti doesn't create full tax invoices (needed by a VAT-registered buyer for amounts over AED 10,000) or credit notes for refunds: issue those outside Hopoti.

If the payment was refunded

The receipt of a refunded payment shows the amount after the refund. To refund a payment, see Refund a payment.

If a receipt doesn't download or looks wrong

  • You can't open the Archive: only administrators can.

  • Your company details are missing: fill in Business / VAT number and Address in Settings > Settings > Business details, then open the receipt again.

  • A payment is missing from the ZIP: the period counts payment dates. Check the dates and, if shown, Times in.

  • The ZIP doesn't download: keep the page open until the counter finishes.

  • You need a PDF of an invoice: the Invoices page has no PDF button, because one payment can cover several invoices. Download the payment's receipt instead.

Still stuck? Message our team in the chat with the payment's Order ID and what's wrong with the receipt.
