🎟️ Sell Passes for time-limited access

Sell a monthly arena pass or an annual club pass that unlocks lessons, services or prices while it's valid.

A Pass is a one-off purchase that's valid for a set period and gives the rider tags that unlock lessons, services or prices: for example a monthly arena pass, an annual club pass, or a pass that opens discounted Stablecards. You need Administrator or Instructor permissions.

Passes used to be called Memberships. A Pass doesn't renew. For monthly Memberships, see Set up a monthly Membership for lessons. To sell gift cards, see Sell and redeem gift cards.

Before you start

A Pass unlocks things through the tags it gives. Tags are available on the Growth, Pro and Ultimate plans. Earlier plans (from before September 2026) include them too. Create the tag first, for example "Arena pass": see Use tags to decide who can book and buy.

Create a Pass

  1. In the admin menu, open Cards and click the Passes tab.

  2. Click Passes for sale, then New pass.

  3. Enter a Name, for example "Arena pass 1 month".

  4. In Description, say exactly what the Pass gives, for example "Unlimited arena hire for one month, private arena time not included".

  5. Enter the Price (including taxes) and choose the VAT %.

  6. Under Valid until, set how long the Pass lasts: a number of months, weeks or days from purchase, or until a date.

  7. Under Tags – limit card buying, leave All Users so everyone can buy the Pass, or replace it with the tag of the riders who may buy it.

  8. Under Tags - By purchasing the card the customer gets tags, add the tag the Pass gives, for example "Arena pass".

  9. Click Add.

The New pass window filled in: Name Arena pass 1 month, a Description and its help box, Price 120.00 €, VAT % 13.5, Valid until 1 months from purchase, Tags – limit card buying All Users, Tags - By purchasing the card the customer gets tags Arena pass, the info box about tags, and Add and Cancel.

Make the Pass unlock something

A Pass only does something once its tag is used elsewhere. Add the same tag where Pass holders should get access.

  • Lessons or events only Pass holders can book: in the lesson's Tags – limit buying, remove All Users and All Stablecards and add the Pass's tag. If All Stablecards stays, anyone with one of your Stablecards can still book.

  • A free or cheaper service option, such as free arena hire for Pass holders: put the Pass's tag in the option's Tags - option can be purchased, without All Users. See Examples: arena hire, private lessons and rentals.

  • Discounted Stablecards: in the Stablecard's Tags – limit card buying, remove All Users and add the Pass's tag. Only riders with a valid Pass then see and can buy that Stablecard. See Create and sell Stablecards.

What happens next

  • Riders find the Pass in your Shop under Passes. Any booking fee you've added is included in the price they see.

  • The buyer gets a confirmation email and has the Pass's tags while it's valid.

  • The Pass shows in Cards > Passes > Valid and on the rider's client card under Cards > Passes.

  • When the validity ends, the Pass moves to Expired and its tags are removed. To continue, the rider buys a new Pass.

  • To change the order of your Passes for sale, click Order.

Open the section that fits your case.

If you give a Pass by hand

To give a rider a Pass without a purchase, for example for a club fee paid another way, follow these steps.

  1. In Clients, click the rider's name and open Cards, then Passes.

  2. Click New pass, enter the name, an optional description and the Valid until date (3 months from today unless you change it).

  3. Add the Tags the Pass gives and click Add.

The rider has the tags until the date you set.

If a Pass should end early

To end a rider's Pass before its date, open Cards > Passes > Valid and click the rider's Pass. Change its expiry date, or end the Pass straight away. When a Pass ends, its tags are removed from the rider. To refund the rider too, see Refund a payment.

If a Pass doesn't unlock what it should

Check these in order.

  1. Check the rider's Pass is in Cards > Passes > Valid. An expired Pass no longer gives tags.

  2. Check the Pass gives the right tag in Tags - By purchasing the card the customer gets tags. Editing a Pass for sale doesn't change Passes already sold: add the missing tag in Clients to the riders who already bought it.

  3. Check the same tag is on the lesson, service option or Stablecard the Pass should unlock.
