🐴 Assign horses to riders and print the day list

Match each rider to a suitable horse, save the day plan, print it by lesson, horse or instructor, and let riders see their horse.

Use Horse assign to match each rider on the day's lessons to a suitable horse, save the day plan and print it for the stable. All staff can assign horses, whatever their permissions: Administrator, Instructor or Restricted instructor.

This feature is available on certain plans

Horse assign is available on the Growth, Pro and Ultimate plans.

Earlier plans (from before September 2026) include this too.

Before you start

Fill in each horse's Max rider weight, Max rider height and Max rider level so Horse assign can show which horses suit each rider. See Add and manage your horses.

Assign horses for the day

  1. Go to Horse assign. The day's lessons are columns and your horses are rows.

  2. To plan another day, use the arrows or the date button. Today brings you back.

  3. Select a rider at the top of a lesson column. Horses that suit the rider turn green. Horses that don't fit the rider's skill level, height or weight turn red. A heart marks the rider's favourite horses.

  4. Select the cell where the horse's row meets the lesson.

  5. Repeat for every rider, then select Save dayplan.

Riders see their horse in their Hopoti calendar once you've saved and the lesson's cancellation time has passed. To change an assignment, select the rider, then the new cell, and save again.

Hover over a horse to see its Horsecare entries, such as a day off. To message all of the day's riders, select Send a message to all clients of the day under the tool icon at the top. See Send an email or text message to riders.

Horse assign doesn't save your changes as you go.

Save before you leave Horse assign

Select Save dayplan before you leave the page. If you leave without saving, your assignments for the day are lost.

Horse assign for one day: the warnings, the date with Compact view, Extra information, Summary, Calendar: Planning, Save dayplan and Print, the day's lessons as columns (two marked Lesson planned! with riders placed on horses, three still waiting with their next rider on top), and the horses as rows with their rider limits (skill levels, height, weight, hours).

Print the day list

Save the day plan first so the print-out shows your latest assignments. Then:

  1. Select Print in Horse assign.

  2. Choose the Date.

  3. In Printing, keep your default calendars or choose one. The defaults are the calendars with Printing set to Yes in Settings > Calendars.

  4. Choose the Paper size (A0 to A5, or Letter) and the Orientation.

  5. Choose the Layout: By lesson (each lesson with its riders and horses, in time order), By horse (one row per horse across the day) or By instructor (one column per instructor).

  6. Select Open, Download or Print.

Every print-out is a PDF. If a layout doesn't fit, choose a larger paper size, then print it on several sheets or scale it to one.

Missing lessons and working on a tablet

Open the part that fits your situation:

If a lesson is missing from Horse assign

Check the Calendar menu at the top of Horse assign. Planning shows the calendars set to appear by default. Choose the lesson's calendar or All services to see the rest.

To show a calendar's lessons by default, go to Settings > Calendars, select the pencil next to the calendar, set Planning to Yes and select Save changes. See Organise your Booking page with calendars and locations.

If you work on a tablet or phone

On a small screen, assign horses lesson by lesson. Go to Events, open the lesson, and on the Attendees tab select Assign horse next to the rider and pick a horse from Select a horse. A horse chosen here is saved straight away, without Save dayplan.
