✉️ Send an email or text message to riders

Message riders by email or text, check what was sent in Message history, and find out why a message didn't arrive.

Send an email or a text message to everyone on a lesson, everyone with a tag, or riders you pick. Booking, payment and cancellation emails go out automatically: see Automatic emails for your stable and your riders.

Before you start

  • Riders you added yourself without an email address (preliminary clients) can't get messages. To invite them, add their email address: see Add a rider or a family yourself.

  • Email replies go to your stable's contact email under Settings > Settings > Public information. Keep it up to date.

Choose who gets the message

Where you start decides who gets the message. Each of these opens the same message window:

  • Everyone on a lesson: open the lesson under Events and select Send message to everyone.

  • Several lessons: select Events > Show more options > Send messages, pick the lessons and select Send a message for selected.

  • Everyone with a tag: under Tags, select Send message next to the tag.

  • Riders you pick: select Clients > Send messages, tick the riders and select Send a message for selected.

  • One rider: select Send message on the client card.

  • Everyone riding today: in Horse assign, select Send a message to all clients of the day under the tool icon.

Service or marketing message

The message type decides who gets it:

  • Service: lesson changes, cancellations and practical information. Goes to everyone you selected.

  • Marketing: offers, news and events. Goes only to riders who have given your stable marketing consent for that channel. Emails get an unsubscribe link.

Pick the type that matches: marketing sent as a service message reaches riders who said no to marketing. Riders give consent when they register or book and can change it in their account settings. The client card shows it under Marketing consent - Email and Marketing consent - SMS.

Write and send an email or text message

  1. Open the message window in one of the ways above.

  2. Under Type, choose Service or Marketing first: switching the type clears your text.

  3. Under Channel, choose Email or Text Message. The numbers show how many riders each option reaches.

  4. Write your message. An email has a Subject and Add photo. For a text, the counter shows how many SMS it uses and Preview shows it with your stable's name in front.

  5. Select Send. An email goes out straight away. For a text message, check the totals in Send SMS and select Send with the number of messages, for example Send 135 messages.

Messages can't be scheduled. Emails are sent separately to each rider from no-reply@hopoti.com, so riders don't see who else got the message. Wait until all are sent before you close the window. Riders can't reply to text messages.

The Send messages to clients window with Service (86) and Email (86) chosen, Marketing (5) and Text Message (45) beside them, the Reply-To address, ten recipient names plus 76 more, the subject Indoor arena closed on Saturday, the message in the editor, Add photo, the collapsed list of riders who can't get the message, and Send and Close.

Text messages

You can send text messages once your business is published. Each SMS segment counts as one message per rider. To find out who riders see as the sender, what makes a text longer and how texts are billed, see Text messages (SMS): what you need to know.

This feature is available on certain plans

Emails and Message history work on every plan. Text messages are available on the Growth, Pro and Ultimate plans. New features like this aren't part of earlier plans (from before September 2026). Message our team to get access.

Check what was sent in Message history

  1. Select Clients in the admin menu, then Message history.

  2. Choose All channels, Email or SMS, and the From and To dates (the last month by default).

  3. Click a row to read the message exactly as it was sent.

Each send shows who sent it, the type, the channel and how many recipients were Delivered, Not sent or Failed. For text messages, SMS segments billed shows what was billed. Only delivered text messages are billed.

The Message history window with the All channels, Email and SMS filters, From and To dates, the summary 5 sends in total with Recipients, Delivered, Not sent, Failed and SMS segments billed, and a list of five service and marketing emails and text messages with who sent them and their delivery figures.

If a rider didn't get your message

Check these in order:

  1. Message history: was the send delivered, not sent or failed for that rider?

  2. Riders left out: in the message window, the yellow box It is not possible to send a message to following users lists who won't get the message and why, for example No phone number in client information.

  3. Type: marketing messages only reach riders with marketing consent for that channel.

  4. Contact details: check the email address and phone number on the client card, and ask the rider to check their spam folder.

  5. Account: preliminary clients without an email address can't get messages, and hidden clients don't get messages sent from the Clients page. Emails to a child account also go to the parent, and a text to a child account without its own phone number goes to the parent's number.

Still stuck? Message our team in the chat with the date and time of the send, the channel and the rider's name.

The message window with Marketing and Email chosen (both 0), the note No clients available for selected message and delivery type, and the open list It is not possible to send a message to following users with the reason The client has not given consent to receive marketing emails for Emma Laine and Olivia Berg; Send is greyed out.
