A family account is one parent account with one or more child accounts, so a parent can book and pay for their children. Here's how family accounts work from your stable's side.
Who books, pays and gets the messages in a family account
How a family account works for each part of a booking:
Question | Answer |
Who books? | The parent, by switching to the child's account. A child with their own login can also book. |
Whose booking is it? | The child's. The child is on the lesson and in your client list. |
Who pays? | The parent. Invoices for a child's bookings go to the parent account. |
Who gets the emails? | The parent, and the child too if the child has an email address. Emails you send to a child account also go to the parent. |
Who gets text messages? | The child's phone number, or the parent's number if the child has none. |
Memberships | The parent joins for the child. The child is the member and the parent pays. |
How many parents? | One parent account per child. |
Family accounts in your client list
Parents and children show as separate clients under Clients. On a client card, the Basic info tab lists the Parent account and Child accounts: select a name to open that account.
How families get set up
Parents usually add their children when they register, or later in their account settings: see Set up a family account for your children. You can also create a family yourself: see Add a rider or a family yourself.
The parent account always comes first, with the parent's own email address. Children don't need one.
How a child account works depends on whether the child has their own login:
If the child has their own login
If the child has their own login
A child account can have its own email address and password. The child can then log in, book and cancel lessons, see their assigned horses and get emails. The parent can still use the account. The child's email address can't be used by any other Hopoti account.
If the child has no email address
If the child has no email address
The parent manages the child account from their own account, and all emails about the child go to the parent. The child can't log in. If the parent deletes their account, child accounts without their own login are deleted too.
If family members want to swap bookings or credits
If family members want to swap bookings or credits
Whether riders can pass bookings and Stablecard credits on is set under Transfer of bookings and stablecard credits in Settings > Settings > Default settings: Not allowed, With family or With anyone. With With family, a parent can move a booking or credits between the family's accounts. See Give a booking or Stablecard credits to someone else.
Common problems with family accounts
A parent can't create their own account because their email address is on the child's account. The parent logs in with that email address and, under Account settings > Family Accounts, adds a child account in the parent's own name (not the child's), without an email address. Then they message our team in the chat to sort out the two accounts.
A booking is on the parent's account instead of the child's. If your transfer setting allows it, the parent can move a paid booking. Otherwise, open the parent's client card, go to Reservations, use the wrench menu and select Replace with another client. This moves the booking and its invoices to the child.
A second parent wants to manage the child. Only one parent account can be linked to a child. Instead, the parent can give the child account its own login (an email address and password) for the second parent to use. That email address can't belong to another Hopoti account.
Still stuck? Message our team in the chat with the parent's and the child's names and the parent's email address.
