👥 Add a rider or a family yourself

Create an account for a rider or a whole family, with or without email, and send them an invitation.

Most riders sign up themselves with your registration link: see Bring your riders onto Hopoti. When a rider can't or won't, you can create the account for one rider or for a parent and their children. You need Administrator or Instructor permissions.

Before you start

  • Ask for the rider's email address. Without one, the rider can't log in or get notifications or messages.

  • Search for the rider under Clients first. Hopoti can't merge accounts, so a second account for the same rider stays separate.

Add one rider

  1. Select Clients in the admin menu, then Add new client.

  2. Choose One rider.

  3. Fill in First name, Last name, Email and Confirm email, and any other details you have.

  4. Select Add.

You can use the account straight away, for example to add the rider to lessons. The rider gets an email invitation to activate the account and accept your terms. Until they do, they show on your client list as a preliminary client.

If the invitation doesn't arrive, you can resend it in Edit preliminary client: select the pencil next to the rider's name under Clients.

The Add a new client window with One rider selected, the two info boxes, and the rider's contact information filled in for a fictional rider: First name, Last name, Date of birth, Phone with the Finnish +358 code, Email, Confirm email, Weight in kg, Height in cm, Skill Level Beginner and Business remarks, with Add and Cancel.

Add a parent and children

Always create the parent account first, with the parent's own email address. If a child's account uses the parent's email address, the parent can't use it for their own account.

  1. Select Clients, then Add new client.

  2. Choose Multiple riders.

  3. Under Parent account, fill in the parent's details and select Continue.

  4. Add each child's details and save.

The parent gets the invitation by email and pays for the children: invoices for a child's bookings go to the parent account. See How family accounts work for your stable.

If a child's account already uses the parent's email address, the parent logs in with that address and, under Account settings > Family Accounts, adds a child account in the parent's own name (not the child's), without an email address. Then they message our team in the chat to sort out the two accounts.

Other situations when adding a rider

Open the one that matches yours:

If the rider has no email address

Leave Email empty for riders who can't use Hopoti, or while you set up. The rider is then a preliminary client who can't log in, get notifications or receive messages.

To invite the rider later, select the pencil next to their name under Clients, add the email address in Edit preliminary client and select Save changes. The invitation goes out straight away. Until the rider activates the account, you can resend the invitation in Edit preliminary client. Hopoti warns you if the email address is already in use.

If you add the rider straight onto a lesson

On the Events page, open the lesson and select Add client to course under Attendees. In Select a client, choose Add a new client and fill in the same form. Then continue adding the rider to the lesson. See Manage riders on a lesson.

If you need to add a child to an existing family

For a family you added yourself that hasn't activated its account yet, select the pencil next to the parent's name under Clients, open Child accounts and select Add child. Parents who manage their own account add children themselves: see Set up a family account for your children.

If the rider later signs up on their own

If a rider you added without an email address later creates their own Hopoti account, the two accounts stay separate, because Hopoti can't merge accounts. To tidy up:

  1. Open the old account's client card and go to Reservations.

  2. For each booking, use the wrench menu and select Replace with another client. This moves the booking and its invoices to the rider's own account.

  3. Hide the old account: see Hide or remove a client.

Still stuck? Message our team in the chat with the names and email addresses of both accounts.
