Keep your monthly Memberships paid and up to date: see who owes and whose lessons run out, add riders yourself and end Memberships. You need Administrator or Instructor permissions. To create a Membership, see Set up a monthly Membership for lessons.

Available today
Today, Memberships work like this.
Each Membership covers one weekly lesson per rider, at the Membership's monthly price or a price you give the rider.
Riders pay each monthly invoice online themselves. Nothing is charged automatically.
When an invoice is late, nothing happens automatically: you see who owes in the members list and follow up.
A Membership ends when the rider gives notice or you end it, with notice or straight away.
Check your members
Open Memberships in the admin menu. The list on the left shows each Membership, its number of members and whether anyone owes. Click a Membership to open its members list, with a summary of members, overdue invoices and the amount outstanding. For each member you see:
Rider: the weekly lesson and who pays.
Status: active or ending, and who gave notice and when.
This month: this month's invoice and whether it's paid.
Owed in total: everything the rider owes on this Membership, and how late it is.
Use Search rider and the filters All, Owes, Notice given and Needs attention. Click Invoice to open a member's invoice.
Needs attention shows members whose lessons run out before their Membership ends, marked with a warning sign. Click the sign to see the rider's last lesson. No invoice is created for a month with no lessons, so add dates to the weekly lesson to keep the member's lessons and invoices going: members are booked into new dates straight away.
Monthly invoices
Hopoti creates each member's monthly invoice for you.
Each month's invoice is sent the number of days before the 1st that you set in the Membership, and is due on the 1st. It shows in the rider's Invoices and in your members list.
A rider who joins after this month's send date gets next month's invoice straight away, so they can have two invoices at once.
Riders pay Membership invoices online with any online payment method you accept, including ACH bank payments in the United States.
If a rider pays you another way, mark the invoice as paid: see Mark an invoice as paid.
Add a rider to a Membership yourself
In Events, open the weekly lesson and click Add client to course.
In Select a client, choose the rider and click Continue.
Under Choose payment type, switch on Add to membership. Every date of the lesson is selected, and the other payment methods show Other payment methods selected.
To give the rider their own price, for example a discount, change Monthly price for this client. Leave it as it is to charge the Membership price. The rider's own price must be above zero and is used on every invoice, including the first.
Click Add clients to chosen lessons.
The rider joins today, keeps a place on every future date of the lesson and is invoiced every month until the Membership ends. The first invoice is prorated for the rest of this month.
End a Membership
In the members list, click End membership next to the member.
Choose End with notice (the rider keeps their place until their notice period ends) or End now (today's lesson is their last), then click End membership.
Ending a Membership can't be undone. End now can also shorten a notice the rider has already given. If you remove a member from the weekly lesson instead, Hopoti asks whether to end their Membership too.
After the last lesson, no more invoices are sent, the rider's future bookings are removed and their place is free. If the Membership ends mid-month, the last invoice covers only the lessons up to the end date. If next month's invoice was already sent, an unpaid one is cancelled automatically, and a paid one shows in the members list as a full refund for you to make: see Refund a payment.
Open the section that fits your case.
If a member stops paying
If a member stops paying
Nothing happens automatically: the member keeps their place, and Membership invoices aren't cancelled like unpaid lesson invoices. A monthly invoice counts as overdue after your stable's grace days (3 days after its due date by default).
Use the Owes filter to see who owes, how much and how late, and contact the rider. If Reminder email is on under Business emails in your settings, Hopoti also emails that address a list of overdue Membership invoices: see Automatic emails for your stable and your riders. If the rider doesn't pay, you can end their Membership.
If a member gives notice
If a member gives notice
Riders give notice from Memberships in their own account, and their last day follows the Membership's notice terms: see Join a monthly Membership. The member's status then shows the end date and that the rider gave notice. The rider keeps their place until that date, and then the Membership ends as if you had ended it.
If a rider takes two weekly lessons
If a rider takes two weekly lessons
A Membership covers one weekly lesson per rider. Add the rider to each weekly lesson separately, and set the price for each in Monthly price for this client. The rider gets a separate monthly invoice for each lesson.
If you change the price or the lessons
If you change the price or the lessons
Change a Membership's price or lessons with Edit on the Memberships page. Current members pay a new monthly price from their next invoice that hasn't been sent yet, and Hopoti doesn't tell them, so let them know first. For the details, see "Change, archive or remove a Membership" in Set up a monthly Membership for lessons.
If a member can't come or you cancel a lesson
If a member can't come or you cancel a lesson
Members can't cancel a lesson their Membership holds: to stop for good, they give notice. Bookings they've made separately on the same lesson cancel as normal.
If a member can't come, you can remove them from that date and give them a Stablecard credit, valid for 3 months. For Membership bookings the credit starts switched off, because the monthly price already covers the lesson, so switch it on to give one.
When you cancel a lesson and give riders a Stablecard credit, members get one too, valid for 3 months like any lesson you cancel. A cancelled lesson doesn't lower the monthly invoice.
Coming soon
We're adding more to Memberships, for example:
Autopay for stables in the United States: riders save a card and allow your stable to charge their invoices on the due date.
Several weekly lessons in one Membership, with one monthly price and one invoice a month.
Changing a member's weekly lessons from the members list, without ending their Membership.
Emails that tell members about a price or terms change before it applies.
