A Membership lets a rider join a weekly lesson once, keep their place every week and pay a monthly invoice online until they or you give notice. You don't need to sell the lesson again each season, and riders don't need to rebook. You need Administrator or Instructor permissions. More features for Memberships are on their way: see Coming soon below.
Looking for the feature that used to be called Memberships? It's now Passes: see Sell Passes for time-limited access.
This feature is available on certain plans
Memberships are available on the Pro and Ultimate plans.
New features like this aren't part of earlier plans (from before September 2026). Message our team to get access.
Before you start
Riders pay Memberships online, so your stable needs online payments through Stripe: see Start taking online payments.
Create the weekly lesson first, with dates far enough ahead: members are booked into every future date of their lesson. To add dates, see Change, extend or delete lessons in a series.
Each weekly lesson can be in only one Membership, and all lessons in one Membership need the same VAT rate.
Available today
Today, Memberships work like this.
A rider joins by choosing Membership when they book one of the Membership's weekly lessons, or you add them yourself. They pay the first month online and are booked into every future date of that lesson.
The first month is prorated by the lessons left: a rider who joins with 3 of the month's 5 lessons left pays 3/5 of the monthly price. Joining on the 1st means a full month.
After that, every full month costs the same, whether it has 4 or 5 lessons. No invoice is created for a month with no lessons.
Before each month, Hopoti sends the rider an invoice due on the 1st, and the rider pays it online. Nothing is charged automatically, and offline payment methods aren't offered for Memberships.
Any booking fee you've added applies to Membership payments, and the amounts riders see include it.
The Membership continues until the rider gives notice or you end it.
Create a Membership
In the admin menu, open Memberships and click New membership.
Enter a Name riders see when they join, for example "Tuesday evening lesson".
In Description, say what the Membership includes and how it works at your stable.
Enter the Monthly price.
Under Weekly lessons, search for and add the weekly lessons riders can join. A rider picks one of them, and the monthly price is per weekly lesson.
Check the VAT %. It's filled in from the lessons you added.
Choose the Notice terms (see below). With A fixed number of days, set the Notice days.
Under Days before the 1st that the invoice is sent, enter 0 to 28 days (7 unless you change it). With 0, the invoice is sent on its due date, the 1st.
Click Save changes.
What happens next
The Membership appears in your list with "no members yet". Riders who open one of its weekly lessons on your Booking page can choose Membership under Purchase method. To add a rider yourself, see Follow up Memberships: members, invoices and notice.
If something doesn't work, check these:
The Membership doesn't save: the form says what's missing. All its lessons need the same VAT rate.
A lesson isn't in the Weekly lessons list: only weekly or daily lessons with a date ahead are listed, and a lesson already in another Membership is left out and named under the list.
Riders can't join: a rider can't join when every date the Membership covers is full. Check the places on the lesson's dates.
Choose the notice terms
The notice terms decide the last day a rider keeps their place after notice is given, whether the rider gives notice or you end the Membership with notice.
A fixed number of days: the set number of Notice days after notice.
Until the end of the current month: the last day of the month notice is given in, so the last month is a full month.
No notice required: the day notice is given.
Your first Membership starts with A fixed number of days and 30 Notice days. Each new Membership after that starts with the terms of your most recent one.
Open the section that fits your case.
If you want riders to sign a Membership agreement
If you want riders to sign a Membership agreement
Add your agreement as a form or waiver on the weekly lesson. Riders fill it in and sign it when they join the Membership. See Create forms, waivers and surveys.
If only some riders may join
If only some riders may join
Memberships have no approval step. To control who can join, use tags: in the weekly lesson's Tags – limit buying, remove All Users and add the tag of the riders who may book it. See Use tags to decide who can book and buy.
Change, archive or remove a Membership
Open the Membership in Memberships and use the buttons at the top.
Edit changes the details.
Archive stops new riders joining: the Membership disappears from checkout, but current members continue and are still invoiced. It stays in your list marked Archived.
Remove deletes the Membership. This only works while it has no members.
Before you change the monthly price of a Membership that has members, read this.
Changing the price when a Membership has members
Current members pay the new monthly price from their next invoice that hasn't been sent yet. Invoices already sent keep their price, and members you've given their own price keep it. Hopoti doesn't tell members about the change, so let them know before you change the price.
Coming soon
We're adding more to Memberships, for example:
Autopay for stables in the United States: riders save a card and allow your stable to charge their invoices on the due date.
Several weekly lessons in one Membership, with one monthly price and one invoice a month.
Changing a member's weekly lessons without ending their Membership.
Emails that tell members about a price or terms change before it applies.
