💳 Set VAT or sales tax on your prices

Choose your default tax rate, set tax per price, and get it right on receipts in your country.

Every price in Hopoti includes tax and has its own VAT rate. Set your usual rate as the default and check the rate on each price, so receipts and your Archive show the right tax. Only administrators can open Settings and the Archive.

Before you start

  • Hopoti never adds tax on top at checkout: always enter the full price the rider pays.

  • Depending on your country, fields may say VAT, GST or TAX.

  • Which rate applies depends on your country's rules: ask your accountant if you're unsure.

Set your default VAT rate

  1. Go to Settings > Settings and open Default settings.

  2. Enter your most common rate in Default tax percentage.

  3. Select Save.

New prices and invoice rows start with this rate, and you can choose another rate on each. Prices you've already saved keep their rate.

Set the VAT rate on a price

Each price has its own VAT %. For a lesson series:

  1. Go to Events, click the first lesson of the series that should change and open the Edit tab.

  2. Enter the price, tax included, in Single event price or Season price, and choose its VAT %.

  3. Save with Save changes to all events > Only save changes to all events so every later lesson gets the same rate.

Services, camps, Stablecards, Passes, gift cards and Memberships have their own price and VAT fields.

When one payment has several VAT rates

One payment can carry several VAT rates: from line items on a price, from rows on an invoice you create (both on the Growth, Pro and Ultimate plans), or from a booking fee with its own rate. Riders still pay one total, and checkout, receipts, History and your Archive show the VAT for each rate. See Split a price into line items with different VAT rates and Pass a booking fee on to riders.

A rider's payment summary at checkout: Product price €54.00 (VAT 13.5% €6.42), Booking fee €1.82 (VAT 25.5% €0.37), and Total price €55.82 (VAT €6.79), incl. €1.82 Booking fee.

See the VAT you've collected

In the Archive, the VAT tab totals your sales and VAT for each rate in the dates you choose, and Download gives you an XLS, CSV or TXT file for your accountant. The Payments tab shows each payment's rate, with several rates together, for example 13.5 / 25.5. See Export payments, invoices and bookings for your bookkeeping.

The VAT tab in the Archive for 09/09/2026 to 09/10/2026: one row per VAT rate (0, 13.5 and 25.5) with the Tax amount, Total, excl. tax and Total, incl. tax, and the Download button.

When a VAT rate changes

When the law changes a rate, update Hopoti in this order:

  1. Change Default tax percentage in Settings > Settings > Default settings.

  2. Choose the new rate on each price that uses the old one, in its VAT field or line items: lesson series, services, camps, Stablecards, Passes, gift cards and Memberships.

  3. If your booking fee has its own rate, check VAT rate charged on the fee under Booking fee in Settings > Payments.

Payments already made and invoices already sent keep their rate.

Sales tax in the US and VAT in Finland

Some countries have their own points to know about tax on your prices. Open the one for your country.

If you are in the US (sales tax)

Enter every price including sales tax. For example, for a lesson of 50.00 with 6% sales tax, enter 53.00 as the price and choose 6 as the rate.

Riders buy directly from your business, so you're responsible for collecting and paying sales tax and any other taxes in your state and area. Hopoti saves the rate of each payment on its receipt and in your Archive.

If you are in Finland

In Finland, reduced VAT rates, such as the rate for riding lessons, apply only to the service itself. A booking fee charged on top of the price is priced separately, so choose the general rate in VAT rate charged on the fee unless your accountant or the Finnish Tax Administration (Vero) has confirmed that a reduced rate applies. See Pass a booking fee on to riders.

If the VAT doesn't look right

  • A receipt shows the wrong rate: check the VAT % or line items of what the rider bought, or VAT rate charged on the fee for the booking fee line. A correction only changes new payments.

  • Your VAT number is missing from receipts: fill in Business / VAT number (see Update your business details, time zone and currency).

Still stuck? Message our team in the chat with the payment's Order ID from Archive > Payments and the rate you expected.
