Memberships

Sell weekly lessons by the month. Riders keep their place every week and pay the same price every month.

Memberships let your riders join a weekly lesson once and keep their place every week. They pay the same price every month until they or the stable give notice. You don't need to sell the lesson again each season, and your riders don't need to rebook.

How memberships work

  1. The stable creates a membership with a monthly price and the weekly lessons it covers.

  2. The rider picks Membership on a weekly lesson, pays the first month online and is booked into every future date of the lesson.

  3. Before each month starts, Hopoti sends the rider an invoice for the next month. The rider pays it online.

  4. The membership continues until the rider gives notice or the stable ends it.

Creating a membership

Go to Memberships in the admin menu and select New membership.

  • Name is shown to riders when they join.

  • Description should explain what the membership includes and how it works for your stable.

  • Monthly price is what the rider pays each month.

  • VAT % is filled in from the lessons you choose. All lessons in a membership must have the same VAT rate.

  • Weekly lessons are the lessons riders can choose from. A rider joining the membership picks one of them. Each lesson can belong to only one membership, so lessons already covered by another membership aren't listed.

  • Notice terms sets how much notice a rider must give before their membership ends. The last day of the notice period is the last day the rider keeps their place. Choose one of:

    • A fixed number of days ends the membership the set number of days after notice is given. This is the default, with Notice days set to 30.

    • Until the end of the current month ends the membership at the end of the month in which notice is given.

    • No notice required ends the membership as soon as notice is given.

  • Days before the 1st that the invoice is sent sets when each monthly invoice is sent. The invoice is always due on the 1st of the month it covers. You can choose anything from 0 to 28 days, and 0 sends the invoice on the due date itself. The default is 7 days.

Tip: Make sure your weekly lessons have dates far enough ahead. Members are booked into every future date of their lesson, and their invoices continue for as long as the membership does. You can add more dates to a weekly lesson from the event's Edit tab.

Changing the price. If you change the monthly price while the membership has members, the new price is used from the next invoice. Invoices already sent don't change.

Archiving and removing. To stop selling a membership, select Archive. It disappears from checkout, but existing members continue as before. Archived memberships stay in your list, marked Archived. You can only Remove a membership when it has no members.

How riders join

Riders join from the weekly lesson on your booking page. They open the lesson, select Continue booking and choose Membership under Purchase method. The membership shows its monthly price and notice terms.

Before paying, the rider sees:

  • Who is riding? Riders can choose Change participant to join on behalf of someone else, for example a child. The child is booked into the lesson, and the account holder pays.

  • What you pay now, with the due date.

  • The monthly price after the first month, and when each invoice is sent.

  • The membership's Notice terms.

If the lesson has forms or waivers, the rider fills them in when joining. The rider then selects Continue to payment method selection and pays online.

The first month is prorated. The first payment covers only the lessons left in the current month. For example, on a $500 monthly membership with four Thursday lessons in the month, a rider who joins with one Thursday left pays $125.

After paying, the rider is booked into every future date of that lesson.

Memberships are paid online. Offline payment methods, such as cash on arrival, aren't offered for memberships. If your stable passes the payment fee on to riders, it's included in the price shown.

Adding a rider as staff

You can add a rider to a membership yourself. Open the weekly lesson, choose Add clients to event and select the rider. Under Choose payment type, select Add to membership.

You'll see the membership for this lesson with its monthly price, VAT and notice terms. The rider joins today and keeps a place in every future date of the lesson. They're invoiced every month until the membership ends, and the first invoice is prorated for the rest of this month.

Under Monthly price for this client, you can give the rider their own price, for example a discount. Leave it as it is to charge the membership price. A custom price applies to every invoice, including the first.

Select Add clients to chosen lessons to finish.

Two lessons a week? Each membership covers one weekly lesson. If a rider comes twice a week, add them to each weekly lesson separately and set the price for each. The rider gets a separate monthly invoice for each lesson.

Monthly invoices

Hopoti creates the next month's invoice automatically, the set number of days before the 1st. The invoice is due on the 1st. The rider sees it under Invoices in their account and pays it online with any online payment method your stable accepts, including ACH bank transfer in the United States.

If a rider joins after this month's send date, they get next month's invoice straight away.

Unpaid invoices. Hopoti doesn't remove a rider from their lessons if an invoice is overdue. You can see who owes what on the members list and decide what to do.

Members list

On the Memberships page, each membership shows how many members it has and whether anyone owes money. Select a membership to see its members.

At the top you'll see a summary of the membership: how many members it has, how many invoices are overdue and how much is outstanding in total. For each member, the list shows:

  • Rider: the rider's name, their weekly lesson and who pays for the membership.

  • Status: whether the membership is active or ending, and the member-since or end date. If notice has been given, you'll also see who gave it and when.

  • This month: this month's invoice and whether it's paid or overdue.

  • Owed in total: everything the rider owes on this membership, and how late the payment is.

Use the search and the filters All, Owes, Notice given and Needs attention to find members quickly. Needs attention shows members whose lessons run out before their membership ends, marked with a warning sign. Select the warning sign to see the last lesson on the rider's calendar. Add more dates to the weekly lesson, or the rider will be invoiced for months with no lessons in them.

Select Invoice next to a member to view their invoice.

A monthly invoice counts as overdue after the number of days you've set for all of your stable's invoices.

Ending a membership

The rider gives notice from Memberships, which they find in the main menu in the top right corner. There they see each of their memberships with:

  • the stable and weekly lesson

  • who the membership is for, if they pay for someone else

  • the monthly price

  • the dates their lessons are booked for

  • when they became a member

  • the notice terms

The All, Active and Ending filters help riders with several memberships.

To end a membership, the rider selects Give notice. Before confirming, they see the last day they keep their place, based on your notice terms. Lessons after that date are released, and they won't be invoiced again. Notice can't be undone once given. The membership then shows as Ending with its end date.

The stable ends a membership by selecting End membership next to the member in the members list. The end date is shown before you confirm, and the member's status then changes to Ending.

After notice is given mid-month, the last invoice covers only the lessons up to the end date. After the end date, no more invoices are sent, the rider's future bookings are removed and their place in the lesson becomes free.

Cancelling a single lesson

Members can cancel individual lessons according to your cancellation policy. They get the same cancellation credit as any other rider.
