Get your stable ready for its first bookings in the order that saves waiting and rework. You need Administrator permissions to change settings. If you haven't registered yet, start with Register your business on Hopoti.
Set-up checklist
Work through these steps in this order. All settings are under Settings in the admin menu.
Business details and Default settings in Settings > Settings: name, address and time zone, and your default tax rate (see Set VAT or sales tax on your prices). If the currency is wrong, message our team before you add prices.
Online payments: start the setup in Settings > Payments now (Stripe, or Paytrail in Finland), as verification runs while you do the rest. See Start taking online payments.
Your Hopoti page: description, contact details and images. See Make your Hopoti page look great.
Rules: default cancellation policy and skill levels in Settings > Rules. See Choose your cancellation policies.
Calendars and locations in Settings > Calendars and Settings > Locations. See Organise your Booking page with calendars and locations.
Staff in Settings > Staff, and your horses under Horses. See Add staff and choose what they can do and Add and manage your horses.
What you sell: Stablecards, Passes and tags. See Stablecards, Passes, gift cards and Memberships: which to use.
Registration Form, if you use one: riders must sign it before they can book. See Set up the Registration Form riders must sign.
Publish: select Ready to publish? on the setup progress bar. Then invite your riders: see Bring your riders onto Hopoti.
Optional extras
Add these whenever they suit your stable:
Take bookings with offline payments, such as cash on arrival
On the Pro and Ultimate plans: Set up a monthly Membership for lessons
In the United States, on the Pro and Ultimate plans: Accept bank payments (ACH) from US riders
Plan your launch
How you launch Hopoti depends on where you are in your season. If you're moving from another booking system, message our team before you start.
Open the one that fits your stable:
If you start between seasons
If you start between seasons
This is the most common start: you sell the new season in Hopoti.
Create the new season's lessons, cards and settings.
To let current riders book first, limit buying with a tag only they have. See Use tags to decide who can book and buy.
Publish your business and invite your riders.
Give current riders the tag, or add them to their lessons yourself.
When they've had their turn, remove the tag limit so everyone can book.
If you start in the middle of a season
If you start in the middle of a season
Your riders already have bookings, so keep buying closed until they're in Hopoti.
Create your lessons, cards and settings with buying closed: limit buying with tags, or leave every Lesson selling type unselected.
Publish your business and invite your riders.
Add riders to their booked lessons and add their Stablecard credits. See Manage riders on a lesson.
When nearly everyone is in, open buying and tell riders to book, cancel and pay in Hopoti from now on.
Riders can book with Stablecard credits straight away, even while buying is closed, so do steps 3 and 4 on the same day if you can.
If your business is brand new
If your business is brand new
Sell through Hopoti from day one: create your lessons, cards and settings ready for sale, publish your business and start promoting it. See Promote your stable with posters, logos and the welcome package.
If something doesn't look right
Check these common first-week problems in this order:
A rider can't see or book a lesson: usually a tag. Compare the lesson's tags with the rider's. See A rider can't book a lesson.
Riders don't appear in your client list: they appear once they sign up with your registration link, book with you or add your stable as a favourite. See Bring your riders onto Hopoti.
Riders can't pay online: check that the Payment provider box in Settings > Payments shows Enabled.
Still stuck? Message our team with your business name, the lesson or setting involved and, if it's about one rider, their name.
